What this solves
Commercial lending workflows are typically spread across spreadsheets, email threads, shared drives and manual follow-up systems. Mica Design built this portal to consolidate every part of the process — from first enquiry through to formal settlement — into a single secure platform, giving Ortus Commercial clearer visibility, less manual admin, and a more consistent internal process across every deal.
A Kanban board gives a live view of every deal across 12 stages — from initial enquiry through to settlement. No spreadsheet hunting.
Track every lender submission in one place — status, indicative rate, terms, response date, and notes. Nothing slips through.
A customisable per-deal checklist with received/pending status gives clear control over what has been collected and what is still outstanding.
A structured rich-text editor for credit memos with one-click export to a branded PDF — ready to share with lenders without formatting work.
Record and review key financials per deal: DSCR, LVR, NOI, cash flow, and custom notes — all stored against the deal, not in a separate file.

Platform
Every technology choice Mica Design made is deliberate — selected for long-term reliability and maintainability, not trend-chasing. The platform is built to grow with the business, with no proprietary lock-in and clear separation between frontend, backend and data layers.
Security
Commercial lending involves sensitive financial data, borrower information and confidential lender terms. The portal is engineered so that data access is enforced at the database level — not just in application logic — making it appropriate for this type of information from day one.
Supabase RLS policies enforce broker_id = auth.uid() at the database level — not in application code. Even if someone obtained the API key, they would receive zero data.
Microsoft OAuth client secrets and service-role keys live exclusively in Supabase Edge Functions. The browser only ever holds a short-lived anon token.
The client portal uses a PostgreSQL SECURITY DEFINER function — clients can only fetch their own deal data, looked up by their verified email address.
All emails are sent from the broker's own Microsoft 365 inbox via OAuth — maintaining full Exchange audit trails and complying with financial services obligations.
Mobile Companion
The next phase of this platform introduces an AI assistant — available inside the dashboard and as a lightweight iPhone app for the team when they're away from their desk. It connects directly to the portal, so actions taken on the go are reflected immediately in the system.
Senior brokers and team members can take action on deals, clients, and follow-ups from anywhere — without needing to open the full dashboard. The assistant handles the back-and-forth so nothing waits until Monday.
Team members can send follow-ups, log meetings, and trigger actions from their phone — without logging into the full dashboard.
Ask the assistant to send an invoice, follow up with a client, or summarise a deal — it handles it behind the scenes, securely.
Each team member sees only what they're supposed to. Senior brokers have full visibility; others are scoped to their own clients and deals.
Every broker-client relationship stays separate. Joe's conversations with Sam are never visible to anyone else.
Meetings can be recorded and automatically summarised, with follow-up emails or reminders triggered straight from the transcript.
Senior staff can see a breakdown of AI usage across the team, keeping costs transparent and predictable.
The AI assistant is powered by Claude's API. Sensitive client data never leaves your servers — only the instructions do.
Integration

New enquiries captured in the portal are pushed straight into MyCRM automatically. No copy-pasting, no delays.
Client details, deal stages, and updates can flow between your dashboard and MyCRM, so both systems stay current without extra admin.
Using MyCRM's webhook support, changes made in one platform can trigger updates in the other instantly.
Your team works in the dashboard they know, while MyCRM stays up to date in the background — ready for compliance, reporting, and lender submissions.
